How do I keep track of essential changes for payroll?

Purpose: To help you understand the beauty of the Payroll Change report in managing and tracking changes in employee data. This report keeps track of any payroll-related changes during a pay period so you can easily see what may need an update within your payroll system.


Payroll Change report

When you are ready to start tracking payroll changes, you can find the Payroll Change report in the Standard Reports folder on the Reports tab. Then, click Start Tracking Changes to keep track of all payroll-related changes. We recommend ensuring your current data is up to date before starting to track your payroll changes.

Please keep in mind that the report will not track any changes made before the starting date.

The purpose of the Payroll Change Report is to track any payroll-related changes during a pay period so you can easily see what may need an update within your payroll system. This report keeps track of a specific set of fields. Please see below for further details.

Options for viewing

There are a few different options for how you would like to view or share the information in this report:

  1. Select a date: Once you select a date, it will show you all changes from the time you clicked Start Tracking Changes up to the date you selected. For example, I started tracking payroll-related changes on June 1, 2019, and I entered June 27, 2019, as Pay Period End Date, the changes that occurred between the two dates will show. 
  2. Filter: Choose a filter to view employees by one of the following options: Department, Division, Employment Status, Job Title, Location, Pay Group*, and Pay Type. 
  3. Share: You can share the report with other users.
  4. Export: You can export this report to Excel or CSV formats.
  5. Toggle between viewing options: You can view uncompleted changes or completed changes.
  6. Reset Tracking: The reset option allows you to restart tracking your changes.** This button is only available to Full Admin users.

*Please note the Pay Group filter option will only show if you have set up your pay groups in Employee Fields in Settings AND entered the pay group information on the employee profiles. 

**IMPORTANT: Clicking the reset button will ERASE all tracked changes up until the current date. It will then restart tracking all payroll-related changes from that point moving forward. Clicking this is a permanent action and cannot be undone. 

View changes

To view payroll changes for an employee, click on the employee's name in the report to expand the view. Once you have noted the changes, do not forget to check the box to acknowledge them.
