Payroll Hours Detail Report

Is there a report that shows all hours and a breakdown of hour types?

Purpose: This guide will explain the Payroll Hours Detail report. It will show each of the potential hours breakdowns for Regular, Overtime, Project Hours, Shift Differentials, and Worked Holidays.



Payroll Hours Detail report

This report contains all of the details of the Payroll Hours report but also includes breakdowns of Projects/Tasks, Shift Differentials, and Worked Holiday Hours. It does not include imported hours.

The Payroll Hours detail report displays all hours worked on an employee-by-employee basis during a specific pay period. It breaks down the hours by hour type. Refer to the descriptions below to learn more about the report and its functions.

  1. Pay Schedule: Select which group of employees you would like to review by selecting the corresponding pay schedule.
  2. Period: Determine which pay period you want to review. Available options include all dates for pay periods in the last 12 months on a rolling basis.
  3. Filter Hour Types: If you need to review hours one type at a time, select the type (or types) and click Apply. There are a few things to note concerning these filters:
    1. If your filter removes any employees from the report (due to them not working any of the types of hours you selected), you will lose the ability to click Approve All.
    2. The amount in the Total column will not change when selecting a type of hours; it will always display the employee's combined total number of hours.
    3. The report will display all hours that fall into any of the categories you've selected. For example, if you choose Overtime and Projects/Tasks, you will see hours clocked to a specific project, hours clocked to a specific project & task, overtime hours, all overtime hours clocked to a specific project & task, and all overtime hours clocked to a specific project & task worked on a holiday.
  4. Approve All: If you have access to approve hours for all employees in the pay schedule you are viewing, you can approve all the hours at once using the button in the top right corner.
  5. Hour Type: This column will show a complete breakdown of an employee's hours.
    1. In the example above, you can see that Charlotte worked 70 regular hours, 6.5 hours on New Year's Day (which pays an increased rate), 5 hours during the On-Site Weekends shift,  7.5 hours during the Weekday Nights shift, 1.5 hours during the Weekday Night shift on New Years Day (which pays an increased rate), 7.5 hours of overtime during the Weekday Nights shift, 0.5 hours of overtime during the Weekday Night shift on New Year's Day, and received pay for 8 hours on an additional holiday.
    2. In Charlotte's example, New Year's Day hours are listed separately from Holiday hours because Charlotte clocked hours on New Year's Day, but did not clock hours on the Holiday. Her company's holiday settings gave the employees an increased pay rate for New Year's Day and gave the employees the day off work with pay for the other holiday.
  6. Approve: Hover over an employee's name to see the Approve button appear.
  7. Approved: If hours have been approved, their total hours will show in green, and you'll see a green checkmark in the Approved? column.
  8. Clocked-In: If an employee is currently clocked in, you'll see the timer icon next to their total hours.
  9. Pending: If hours are not available yet for approval, you will see Pending in the Approved? column. Timesheets are open for approval at midnight on the last day of the pay period.

Please note that an employee will show in this report if they are active and have Time Tracking enabled at some point during a pay period. For example, if an employee's employment ends during a pay period, the hours worked by the employee before they leave the company will still show in this report.

Employee Timesheet Details

When viewing the Payroll Hours Detail report, you can review an employee's timesheet details by clicking on their name.

In the Timesheet Details modal, you'll see the employee's timesheet entries on the left and the breakdown of the same hours from the report on the right. If you have the ability to edit timesheets, you can do so from this modal by choosing the specific day and then clicking on the pencil icon. If you want to go to the employee's timesheet tab on their employee profile, click Go to timesheet. To return to the Payroll Hours Detail report, click Close or the X in the top right corner.
