Time Off Balances Report

How can I report on time off balances?

Purpose: To learn how to utilize the Time Off Balances report. This report shows time off balances, accruals, time off used, scheduled time off, and any adjustments made for each time off category during a specified time frame.

Time Off Balances

To view time off balance information for your employees, go to Reports > Standard Reports > Time Off > Time Off Balances and select the specific details you'd like to view.  

  1. Start and end date: Enter a start date and an end date. If you want to view the balances on a specific date, then these can be the same date. Otherwise, you can view the time off information for a date range.
  2. Select time off category: You can only view the information for each time off category separately.
  3. Filter employees: View all employees or filter the list with our standard filters (Department, Division, Location, Employment Status, and Job title).
  4. Include Unapproved Time Off: The report does not automatically include unapproved requests. Check this box if you would like these requests included.

You can run this report with a future date range to see future balances and scheduled time off.

Once you generate the report, you can view the following information about each employee:

  1. Beginning Balance: The time off balance available to the employee for this specific time off category at the beginning of the selected date range. (Available vacation balance on July 1, 2020.)
  2. Accrued: The amount of time off the employee has accrued for this specific time off category during the selected date range.
  3. Used: The amount of time off the employee has used for this specific time off category during the selected date range.
  4. Scheduled: The amount of time off that the employee has scheduled for this specific time off category but not officially taken during the selected date range.
  5. Adjustments: Determined adjustments by any administrators for this specific time off category during the selected date range. Please note that carryover losses include in the total adjustment amount.
  6. Ending Balance: The ending available time off balance to the employee for this specific time off category on the final date of the selected date range. (Available vacation balance on December 31, 2020.)

If you export this report, the Employee # will include in the export.
