Candidate Funnel Report
Purpose: The Candidate Funnel report highlights where candidates go once they enter BambooHR and provides details that help you understand how long different processes take. Knowing how long it takes candidates to move through the hiring process can help improve their experience by identifying bottlenecks and phases of the hiring process that need improvement. Speed during a hiring process is critical in today's candidate-driven job market.

This report is helpful for individuals with the following roles:
In-house Recruiter - One of the major pain points for an in-house recruiter is hiring managers. Hiring managers have full-time jobs in addition to hiring responsibilities and can become bottlenecks for several reasons: timeliness reviewing resumes, scheduling conflicts, timeliness responding to recruiter questions, etc. In-house recruiters can use the Candidate Funnel report to give hiring managers visibility into where they might be holding up the process.
In-house Recruiting Manager - In-house recruiting managers need visibility into how their recruiters are filling their job openings. The Candidate Funnel report gives managers visibility into how their recruiters are doing and where they might need help. Recruiting managers can check how many candidates have applied if the right candidates move quickly enough through each hiring phase. Also, they can view an insight into where and why candidates are dropping out.
Hiring Manager - The Candidate Funnel report gives hiring managers insight into how many candidates have viewed a job opening, how many have applied, and a count of candidates in each hiring phase. This insight can help them set the right expectations for their teams regarding team workload, forecasting, etc.
There are five standard reports available for Applicant Tracking. You cannot create custom reports for Applicant Tracking data.
Candidate Funnel
- Select a job opening. You will see open and filled job positions on the list.
- Once you select a job opening, you will see the job title, department, location, the date it was made available, and the number of days since the job opening was opened or filled.
- Posting Views: Displays the number of total views on the careers website (public page of job postings), including repeat visitors.
- Total Candidates: Displays the all-time number of candidates for the job position, including the average number per day.
- Avg Candidate Age: Displays the average amount of time a candidate has been active for the specific job opening.
Active Status Workflow
The Active Status Workflow shows how all candidates in this job opening have progressed through the status workflow.
The workflow will always start with New as the top status and Hired as the last status. To help you get the initial workflow set up, we have also added the three statuses with the most candidates, ordered by the number of candidates.
- New
- Three current statuses with the most candidates.
- Hired
You can add statuses within the workflow by hovering between two active statuses. Clicking on the drop-down will give you a list of active statuses that are not currently in the workflow.
Once a job opening has added statuses, you can move or change the status order. You can have different statuses for the job opening within the report. Also, you can change the status order by removing a status and adding it between active statuses you would like it to appear in in the report.
Details of each status
Each active status shows:
- The status name.
- The average number of days from when the candidate applied to when they moved to this status.
- The number of candidates.
- Percentage of total candidates.
- We also show the number and the percentage of candidates that moved to the inactive status from the active status, so you can see where and why candidates are falling out of your active status workflow.
We are counting the time a candidate spent in an active status here. If you have candidates that have moved back and forth between statuses, or candidates that were part of the job opening for a bit of time, then moved to another position, you will still see their numbers reflected here for reporting accuracy.
The first status in the workflow (New) will have more details explaining and giving context to the rest of the report. You can also get additional information about a particular status by hovering over the bars within the report.
If there are no hires yet within the report, you will see the average time to hire for the department where the Hired status is. Once a candidate gets hired for the specific job opening, you can see the time to hire and the conversion rate for the position.
Disqualified breakdown
This section shows the status of all inactive candidates. The list of inactive statuses is in order by the number of candidates with each status.
Each inactive status shows the following information:
- The status name
- The average number of days from when the candidate applied to when they moved to this inactive status
- The number of candidates
- The percentage of all inactive candidates
When you hover over the information on a bar, you will see more details in a pop-up box about what happened to those candidates with the inactive status.
The Account Owner and Full Admin user(s) automatically have access to all standard reports. Additionally, if a user has access to Manage Job Openings through access levels, they can view the Candidate Funnel report on the Reports tab in BambooHR.
