Expand or collapse content How do I share a report with an employee?

You can share a report with any employee who is in a custom access level, but they will only be able to view the fields their access level allows in BambooHR.

If the report includes fields the employee does not have permission to view, you may need to adjust their access level settings. 

  • For custom reports, ensure the employee's access includes all fields used in the report.
  • For standard reports, refer to Access Standard Reports for a list of required fields for the report(s) you are sharing. 

Once the employee’s access includes the necessary fields, open each report you want to share and select the Share option. For detailed steps, review the Share section of this help guide.

Expand or collapse content Why is a user unable to view their own data in a shared report?

When you share a report with another user, they can only view information their access level allows. If their access level does not include permission to view their own information, or only certain fields, they may not appear in the report. If a user needs to see their own information in shared reports, you can review and adjust their access level settings to include permission to view the necessary fields. 

Custom reports

Expand or collapse content Can I set a date range in a custom report?

Custom reports do not include date range functionality because they are designed to pull current data. However, you can use the Filter option in the custom report builder to narrow results. The Sort option also lets you organize data by date, making it easier to manage or remove rows after exporting the report.

Expand or collapse content Why is a custom report showing duplicate rows of data?

This usually happens when the report pulls from a standard table rather than a historical table. Standard tables can include multiple active rows (entries) at once, while historical tables track one active row per employee at a time. Because standard tables may contain several active rows, the system displays all applicable rows. As a result, you may see duplicate rows that include alternate values for those columns.

Expand or collapse content How do I create a report that pulls the Employee ID for all employees?

You can create a custom report that includes the Employee ID (EEID) for all employees. Follow these steps:

  1. Go to Reports > New Custom Reports.
  2. Click +New Report.
  3. Enter a name for the report.
  4. Open the Fields option and scroll down to the Calculated section.
  5. Within the Calculated section, select EEID.  You can also include the Employee # field if needed.
  6. Save the report.

The Job Level and Pay Band fields are available in the custom report builder. You can find them in the Calculated section when choosing fields for your report.

Expand or collapse content Can I include summarization fields in a custom report?

At this time, summarization fields from custom tables cannot be pulled directly into custom reports. 

Standard reports

Expand or collapse content Can I edit a standard report?

No. Standard reports are not editable in BambooHR. These reports are built into the system and reference specific fields that are not customizable. If you need to include additional information, you can create a custom report with the fields you want to meet your specific data needs.

Expand or collapse content How do I get headcount data for the whole year?

Currently, there is not a way to pull all of that data into a single report in BambooHR. However, you can run two reports and combine them in an external program such as Excel.

Here’s how:

  1. Export the Headcount report from the first day of the date range.
  2. Export the Additions and Terminations report with a date range spanning the rest of the period you want to include.
  3. Combine both reports in an external program to create a list of all employees who were active at any point during the year.
Expand or collapse content Why can't I share a standard report with a custom access level user?

When you share a standard report with a custom access level user, a warning may appear if the user does not have access to all fields included in the report. The report can still be shared, but they will only view the fields their access level allows.

To review which permissions are missing, go to Reports  Standard Reports, select the report, and choose the share icon. Here, the system displays which fields the user needs access to before they can view all report data. You can also review the field requirements for each report in our guide: Access Standard Reports.

Once the user's access level includes the necessary fields, they will be able to view the complete report.

Benchmarking reports

Expand or collapse content What is the Show Benchmark toggle in the Employee Turnover report?

If you are on the Core or Pro package, you can view benchmarking data for the Employee Turnover Report. Our Elite package includes access to additional benchmarking reports across BambooHR.

The Show Benchmark toggle in your Employee Turnover Report allows you to compare your company’s turnover trends with industry averages. This feature helps identify whether your company’s turnover patterns are company-specific or consistent with broader industry trends.

The Show Benchmark toggle is available only to Account Owners and Full Admins. When enabled, the report updates to show a chart that displays turnover trends for the past 12 months. The green line represents your company’s turnover rate, and the gray line represents the average turnover rate across peer companies.

By default, the chart compares your company to all companies in the dataset, but you can filter the data by industry, company size, and location to refine your comparison.

Expand or collapse content How do I opt out of benchmarking?

If you are the Account Owner or a Full Admin, you can submit an opt-out request to our Customer Support team. Support will trigger the request, which requires confirmation from within your account. After you log in, you will see a pop-up modal in your account where you can opt your company out of this feature.

After opting out, your company’s data is removed from all benchmarking datasets system-wide. This action also removes access to the Show Benchmark toggle in all benchmarking reports.

Interested in opting back in? If your company has opted out of benchmarking, the Account Owner or a Full Admin can contact our Customer Support team to request reactivation. Once the request is triggered, a pop-up modal appears the next time you log in, allowing you to opt the company back into benchmarking. After opting back in, the Show Benchmark toggle becomes available again, and your company’s data is included in benchmarking results.
