Add Collaborators to a Job Opening

How do I add collaborators to a job opening?

Purpose: To show you how to invite others to collaborate on a specific job opening to review and administrate its candidates.


Job Opening

A collaborator can administrate all of a job opening's candidates after receiving an invitation to the specific job opening. To add a collaborator, go to the Job Openings tab under Hiring and select a job opening.


Add a collaborator

Click on the three-person collaborator icon next to the Edit Job Opening button at the top of the page. Select the application data that the collaborators can view (see below). Then, enter the names of the individuals who will be allowed to view and manage candidates for this job position.

Only hiring leads and job creators receive email notifications when new candidates apply. Collaborators will not receive emails about new candidates. 

The hiring lead, job creator, and collaborators will receive email notifications for comments and status updates made by other collaborators about specific candidates within the job opening. If there is no comment with an update, an email will not send.

You can click the envelope icon next to a collaborator's name to turn off or on email notifications.

What information can I give my collaborators access to view?

Depending on the information you add to a job application, you may give collaborators access to each of the following items:

  • Desired Pay
  • Address
  • Cover Letter
  • Highest Education Obtained
  • LinkedIn URL
  • College/University
  • Data Available
  • Website, Blog or Portfolio

Collaborators on a job opening can view the names and resumes of all its candidates. You can determine what additional information they can see, including responses to custom questions, using the checkboxes in the drop-down menu. Permission settings apply to all collaborators on that job opening except the hiring lead, who can see everything. For example, if you grant one collaborator access to view desired pay, all collaborators will receive the same access. However, collaborators can only edit candidate information if they also have full access to the ATS as determined by your BambooHR administrator. 

Collaborators can only manually add candidates to a job opening if they are also added to a custom access level with "Manage Job Openings and Candidates" enabled.

Can I remove the job creator from being a collaborator?

If the job creator does not need to be a collaborator on a job opening or receive emails about new candidates, you can remove them by clicking the "X" next to their name in the collaborator list.

If you would like the hiring lead or job creator to stop receiving all email notifications regarding this job opening, click on the envelope icon next to their name. They will still receive a notification of new candidates in their What's Happening widget.
