Move a Candidate to a Different Job Opening
How do I move a candidate to a different job opening?
Purpose: Candidates do not always apply to the job they are hired for from the start. This help guide will show you how to move a candidate to another job opening that is more suitable for them.
Select and move a candidate
Navigate to the Hiring tab to select a job opening to which the candidate applied, then select their name in the list. Click the action menu on the candidate's application, then select Move Candidate. This selection will bring up a pop-up box (see below).
- Move [candidate's name] to: Select a job opening to which you would like to move the candidate.
- What should move to the new profile?: Check the box next to each of the items you would like to move to the new profile (Emails, Comments, and Application Questions). Note that only users with Manage Job Openings access will see the custom questions moved from the previous job opening. Moved questions are unshareable with collaborators. Additionally, copies of each of these items will remain on the candidate's old profile.
- Why are you moving [candidate's name]?: Enter a note to explain why you are moving the candidate. This information will show on the candidate's new profile.
- Click Move.
After you move the candidate, a new profile creates for the candidates and archives their previous profile.
Statuses
- If a candidate has the Offer Sent, Offer Signed, or Hired status when they move, their status on the new job will be New. This status is because these are statuses that BambooHR sets when a user takes specific actions.
- We will keep all other active and inactive statuses when a candidate moves. For example, a candidate has the Interview Scheduled status when you move them, their status on the new job opening will still be Interview Scheduled.
Offer letters in progress
- You cannot move a candidate to a new job opening when an offer letter is in progress. If you attempt to move a candidate with an offer letter in progress, you will receive a message with options to cancel the offer and move them or wait until the offer is complete before moving the candidate.
Background checks in progress through GoodHire (Partner integration)
- If a background check is in process for a candidate and you move them, the background check will continue to run. Once the background check is complete, the person who initiated the background check will receive an email confirmation from GoodHire. If the optional Completed status has been added to BambooHR and set/mapped through GoodHire, the active profile will receive the status update.
Collaborators
- The collaborator on the old profile can no longer view the candidate once they move from the specific job opening that the collaborator is viewing.
- If a collaborator has access to the job opening that the candidate was moved from and moved to, they can see the candidate on the profile to which they moved. From there, they would also be able to access their archived profile.
- If a collaborator has access to the job opening the candidate was moved to, but not the archived profile to which they moved, they will see the Moved From note and comment in the right sidebar, without a link to their archived profile.
- Only those with Manage Job Openings access will see the custom questions coming from the previous job opening. A user cannot share moved questions with other collaborators at this time.
Reporting
- A candidate will be included in the reporting for a job opening up to the point when they move. Then, they will be included in the reporting for the new job opening.
Email Messages
- If you email a candidate and then move them to a new opening, their reply will come through to their archived profile, and the person who sent the email will get the response in their email inbox. If they would like to reply, they will need to go to their active profile.
- Replying to the archived email thread from their mail service will trigger an "Email not delivered" message. It is still possible to email the candidate. A new thread will need to start from within their active profile.
New candidate profile
Once you move the candidate to a new job opening, the candidate's profile will show which job opening the candidate most recently moved to. If the user has access, clicking this job opening link will take them to the candidate's archived profile on the previous job opening. You will see Moved to with details about which job opening to which the candidate moved.
Archived candidate profile
When you move a candidate from one position to another, we will archive their old profile so that their new profile becomes the active profile for the candidate. When archiving the old profile, a few actions will not be available on a candidate's archived profile:
- No new comments
- No new emails
- No rating changes
- No sending an offer letter
- No revising an offer letter
- No hiring from the candidate's archived profile
- No editing candidate info
The candidate's archived profile will not appear in search results or when viewing a job opening but will be accessible from the candidate's active profile (on the right sidebar).
