Hiring FAQ
Purpose: This help guide will walk you through frequently asked questions about Hiring in BambooHR. Each question will provide you with an explanation and/or resource for how to troubleshoot in your account.

Our product development team is intentional in what they do. At this time, they've chosen not to allow importing of candidates. This helps keep the Hiring data in BambooHR clean and consistent. Data from other hiring applications do not always line up with the fields available in BambooHR's Hiring feature.
Other options for entering candidate data:
- In BambooHR, you can manually add a candidate.
- You might also consider reviewing our list of partner integrations. The application you're currently using may be on that list. Many of these will send new employee information into BambooHR, saving you a step.
In any email correspondence sent from the Hiring tab, a red line will appear in the response. This is a hardcoded message that’s irremovable. It says "Reply above this line and (Sender) will receive your email.” Candidates must reply above the line in order to have the email sent back to the ATS. We recommend adding a few extra lines of space above the red line to be safe.
Additionally, when your candidates receive an email, the sender address will be similar to [email protected]. When a candidate clicks the reply button, they may notice that the email address will change to something similar to this: job+5727b11390a95dbfba0f698672e1735e43b7dd51+94553@dc1.reply.bamboo. This string will post the candidate’s response under the correct candidate profile within BambooHR. If they try to respond directly to [email protected], they’ll receive an error message.
Some sites, like LinkedIn, Indeed, and Google, use artificial intelligence called “web crawlers.” These crawlers scan all public websites and tag them for future use. This allows search engines and job sites to populate results. At this time, there’s nothing we can do to stop web crawlers. We recommend adding text in the job description that specifies who should apply for the job opening if it’s limited.
Currently, we don’t offer resume parsing. Recruiting is all about people. Many people are simply looking for resume parsers to weed out everyone except the "best" candidates (often only those who know the right buzzwords to put on their resumes). The BambooHR ATS requires a human touch because relationships and people matter. In today's job market, you can't take good candidates for granted, and doing it right requires a human touch. This approach also allows us to catch candidates who may not be a good fit for the job position they applied for but might be a good fit for another job position.
One option you may find helpful, however, is setting up disqualifying questions. This makes it so that, depending on how a candidate answers a yes/no question, the system will automatically move them to the Disqualified status of your choosing. You can also set up an automated email to inform them of your decision.

If a candidate is already added as an employee in BambooHR, the Hire status under their candidate profile will be grayed out. This prevents duplicate employee profiles from getting created. To remove the candidate from the active candidates' list, you can select an inactive candidate status (under Not Hired Because). For example, you could create a custom inactive status for “Hired, Already in BambooHR.” To avoid this in the future, we recommend adding employees directly from the Hiring tab rather than adding the employees under the Home or People tabs.
If a candidate never signed the offer letter, you can go to their candidate profile and click Cancel Offer. However, there’s no way to formally rescind a signed offer letter. That said, there are a few different ways to handle this situation:
- If you’d like to keep the candidate profile and offer letter for historical purposes, no action is required.
- If you’d like to keep the candidate profile and remove the signed offer letter, you can refresh the candidate profile by moving the candidate to a different job opening.
- If you need to revise the signed offer letter, you can send a new offer letter. See how to do that here.
- If you no longer need the candidate profile and signed offer letter, you can delete the candidate. To do so, go to the candidate’s profile, click the gear icon under the stars and select Delete Candidate.

You’ll need to post job openings to external job boards manually. To do so, go to your Hiring tab, select a specific job opening, and click Get Job Link in the right corner. You can copy the job link and paste it into your job opening descriptions on the external job boards.

At this time, our system allows candidates to apply for the same job more than once. This best aligns with our philosophy of having a flexible tool that allows candidates to apply as many times as they wish in case they are not a good fit at one point but perhaps a good fit later on. However, each job opening will stop accepting applications from a candidate if one or more of the following apply to their situation in a one month period:
- There are more than 10 applicants with the same name on the job opening.
- There are more than five applicants with the same phone number on the job opening.
- There are more than five applicants with the same name and either the same phone number or email on the job opening.
While we don’t have a way to sponsor a job opening directly from BambooHR, there are ways you can reach out to the individual job board partner (Indeed/Glassdoor and ZipRecruiter) to add sponsorship to a job opening once the partner receives it in the job feed. You can reach out to the customer support team of Indeed/Glassdoor and ZipRecruiter separately to accomplish this!
Your careers website and embed code aren’t customizable. However, your company’s web developers can explore changes to the embed code from their end, though we don’t support custom development on the embed code.
Although there’s not a set way to use the hiring feature for internal use, here are a few ideas that may help:
- If you want to receive candidates and take advantage of the hiring functionality through BambooHR (even if they’re internal), you’ll still need to have open positions on your careers website. Because of this, you may still receive external candidates if they find that URL somehow. Also, you or your team may have shared links directed to the careers website or specific job opening links on social media and through email that might be floating around the web. Because of these reasons, we can’t guarantee that the ATS will be completely internal.
- Probably the best way to keep it internal is not to share job openings on social media or any other external platform (except for internal emails, of course). In this way, you only need to tell your employees about the jobs internally.
- To inform your employees of internal job openings, you can use the Company Announcements feature through the What's Happening widget to remind them about the careers website or share a specific job opening link.
- The last tip that may help in your situation is to use the Company Links section of the Home tab to post the link to the careers website, allowing your employees to click that link and see job openings in your company.
To change the logo that appears on your careers website, you can go to Settings > Color & Logo and upload a new logo there. Be aware that this will also change the logo that appears in the top left corner of your account and on your login page.
If you’d like to change your company name, you can reach out to our support heroes here. Please note that changing the account name will also update your billing account name. After changing the account name, you may need to go to Settings > Hiring > Email Templates to manually update your account name in any applicable templates.
This will remove the candidate's data, including personal information, resumes, and other file attachments. We recommend keeping your candidate profiles just in case a candidate fits the requirements for a future role. Rather than deleting them, you can assign them to an inactive Candidate Status, as well as add them to a Talent Pool for future reference.
All candidate profiles under that job opening are deleted and unable to be restored. We recommend changing the status of your opening to "Filled" or "Canceled" rather than deleting it entirely so you can refer back to those previous candidate profiles if needed.

We do have an AAP report with this data that you can pull as needed. Here are the steps to do this:
