Employee View of the New Hire Packet
What does the New Hire Packet look like to a new employee?
Purpose: To help you understand what your new employee will see when they receive the New Hire Packet.
Do you know that the New Hire Packet is mobile-friendly? Your new employees can fill out the New Hire Packet through the browser on their phone and have the same great experience!
Welcome email
The new employee will receive an email once you send the New Hire Packet. When the employee is ready to complete the packet, they can click Get Started.
Create password login
The employee will receive a prompt to create a password to log in to complete the New Hire Packet. The password ties with their personal email address since that was where they received the packet. However, once the employee starts their first day, the password will tie with their work email address, so the employee does not need to create a new password to log in with their work email.
Please note that if you have checked the box next to "Basic Employee Info" when customizing New Hire Packet fields, the employee will be able to edit their email address here.
Information for the first day
Once the employee logs in, they will first see the When & Where information for their first day.
As your new employee moves through each of the steps, they can click Previous Step to go back to previous steps in the New Hire Packet (Step 2 and Step 3). The system will remember their previously recorded information.
Fill out personal information
The employee can fill out personal demographic information* and upload their profile photo. It's a great benefit to have this information completed in advance for the employee to hit the ground running and start contributing to the team faster.
*Please note that a new employee can remove the Education and Emergency Contacts fields by clicking on the "X" button, even if they are marked as required. If they do not have any education or emergency contacts to add, they can remove the section and continue with the packet.
If you use BambooHR Payroll, your new employee may see Direct Deposit, Federal, and State Tax Withholding fields in the New Hire Packet to fill out before their first day. You can add these fields to the New Hire Packet when you create it.
Introduction to the team
The employee will receive a prompt to answer the Get to Know You questions. Depending on how the New Hire Packet was set up, the answers to these questions will send to the team on the employee's first day.
Tasks to be completed
The employee can complete their onboarding tasks by checking the box next to each task.
In the screenshot above, notice that task #2 has an option to attach files. You can add this option to a task when you are creating your onboarding template. If you have marked it as required, the employee cannot complete the task until the file has been uploaded. When the employee uploads a file to an onboarding task, it will automatically upload to the Employee Uploads folder on their Documents tab.
These tasks also include electronic signature documents to sign. If a signature document is marked as required, it will show as Sign Now, and the employee cannot complete the task until the document is signed. If a signature document is optional, it will show as Signature Optional, and the employee can complete the task without signing the document.
Sometimes, you may have tasks that employees will need to complete on or after their initial hire date as part of your onboarding process. This is not a problem! Employees can continue to work on their onboarding tasks and mark them off at any time. If all of the tasks are not complete by the hire date, the introduction email (containing information from the Get Introduced step) will still send out on the hire date.
Confirmation
Once the New Hire Packet is complete, the employee will see the When & Where information for their first day. Additionally, they will see basic contact information for their future team members*, allowing the employee to connect with new colleagues before their first day.
*This includes all employees who also report to the new employee's manager.
