New Hire Packet
Please note that new hires don’t need to have an access level to complete the New Hire Packet. When the New Hire Packet is sent, the new employee will be granted temporary, limited access to fill out their New Hire Packet and accompanying tasks. Once the packet is complete, access will be removed until it is manually granted on an employee’s hire date.
Currently, we don’t offer a way to require a field in the New Hire Packet without requiring it on the + New Employee page.
You can do this on a one-time basis by following these steps:
- Add the field that needs to be required to the + New Employee form by selecting Customize Add Employee Form (see how to do that here).
- Use the Save and Send & Create Hire Packet option after filling out the + New Employee form.
- Click on Customize New Hire Packet Fields in the top right corner and check the box next to the field you added to the form. This will add the field to the New Hire Packet.
- Reach out to Support and ask them to mark the field as required before sending the packet.
- After Support has marked the field as required, send the New Hire Packet.
You’ll need to cancel the current packet, make your edits, and resend the packet. Please note that this will clear out anything the new hire has already filled out, so you may need to communicate with them if this action is necessary. For more information, you can check out this guide.
Only tasks assigned to the employee due on or before the hire date will copy into the New Hire Packet. If the employee hasn't finished the packet, they’ll still be able to see all assigned onboarding tasks in their inbox, but they won't receive any email alerts about pending tasks unless they have the Task Reminder alert set up.
The progress bar will disappear two weeks after the employee's hire date. However, the employee can still complete the packet at any time.
Sometimes! If you’re rehiring an employee who has never received a New Hire Packet, you can send them one now. However, if they’ve already received a New Hire Packet in the past, you won’t be able to send them another packet now. You can delete the old onboarding tasks from their Onboarding tab (this won’t remove any old documents) and then reassign new tasks to them. The system will populate the new hire’s hire date. Please note that in order to complete onboarding tasks outside of the New Hire Packet, an employee must have an access level and an active status on their Personal tab.
When you create a New Hire Packet, click Customize New Hire Packet Fields in the top right. Then, select Basic Employee Info. This will show a drop-down with an additional checkbox that you can click to require the photo upload.
Get To Know You Questions
Sending a New Hire Packet triggers the Get To Know You questions.
If the employee has already completed the New Hire Packet and Get to Know You questions, there’s no way to delete the answers. You can hide them, but the Get to Know You email will be sent out without their answers. To do that, you can follow the steps found here.
An email showing the employee’s name and department still goes out. So, you can hide the questions for those emails, but the email will still go out. You would need to delete the employee to stop the email completely. The employee will also still appear on the Home tab’s widget but without their answers.
If you checked the box to send the email (whether or not there were questions) and then sent the packet, the only way to stop the email is by deleting the employee's record. If you want to delay it (say if the employee's start date was delayed), moving the hire date to a future date will adjust the email delivery date as well. Another option to temporarily stop the packet from going out is setting the employee to inactive before their hire date.
Not once the employee leaves the answer screen.
The BambooHR web app does not store Get to Know You questions, but employees can view their own answers to the Get to Know You questions on the BambooHR mobile app. The best option is to save the Get to Know You emails for future reference.
