Talent Pools

How can I organize my candidates by skill?

Purpose: To show you how to create and manage Talent Pools on the Hiring tab.


Oftentimes, when a new position becomes available, recruiters have to look through candidates who have applied over time one by one to find the ones with the skills you need. Organizing your candidates into Talent Pools is a great way for you to find your candidates with the experience you need without wasting valuable time.

Create a Talent Pool

To add a new Talent Pool, go to the Talent Pools tab in Hiring and click + New Talent Pool. A modal will pop up allowing you to enter a name, icon, and description for your new Talent Pool. Click Create when you are ready to save.


Add a Candidate to a Talent Pool

Click on the Talent Pool to which you would like to add a candidate, then click + Add Candidate.

A modal will pop up allowing you to start typing in the name of the candidate (which will generate a list to select from) and a short note on why they are being added to this Talent Pool. Click Add and they will be assigned to this Talent Pool. Once they are added, you'll be able to see their name, position(s) they have applied for, ratings in those positions, the date they were added to the Talent Pool, and your note on why they were added (see above).

Please note that candidates must exist on at least one job opening to be added to a Talent Pool. The job opening can be in any status. It does not need to be open.

If the candidate needs to be removed from the Talent Pool at any time, simply hover over their line of data and click the X in the right corner.

You can also add a candidate to a Talent Pool from the candidate's profile


Who can view and edit Talent Pools?

Access Levels

All full admins (including the account owner) will have access to all Talent Pools. When creating a custom access level, you can grant the assigned users access to create and edit Talent Pools by selecting Manage Job Openings, Talent Pools, and Candidates under the Hiring tab in What Can People with this Access Level Do?

Collaborators

Click into the Talent Pool to which you would like to add a collaborator.  A modal will pop up allowing you to add collaborators.

Those who are collaborators on a Talent Pool will be able to see:

  • The Hiring tab in their main navigation.
  • The Talent Pools tab in the Hiring section.
  • The main view for all Talent Pools they have access to.
  • The view for a specific Talent Pool.
  • Candidate info for a candidate within the Talent Pool. *Please note this is just the information listed in that column. A collaborator on a Talent Pool cannot view the full Candidate Profile unless they are also a collaborator on the Job Opening.

Collaborators will receive an email notification letting them know when they've been added to a Talent Pool. These emails cannot be turned off.


Delete a Talent Pool

Click on the Talent Pool you would like to delete and click on the gear icon. You can also edit the Talent Pool from the gears icon.

Once you click Delete Talent Pool, a modal will appear allowing you to either delete the Talent Pool and make a record of that on the candidate's profile, or to move the candidates to a different talent pool first. Once you have made your selection, click Delete Pool.
