Email Alerts for Celebrations
What are the available email alerts for celebrations?
Purpose: To show you how to create an email alert for different celebrations in BambooHR, including birthdays and employee anniversaries. In this way, you will never miss an important day for your employees.
Email Alerts
You can create celebration alerts to help you remember special days for your employees. To create a new email alert, go to Email Alerts in Settings and click +Add Alert. Then, select which celebration alert you would like to create.
Set alert information
All four celebration alerts are similar in their setup. The image above applies specifically to the Birthdays alert setup. However, other celebration alerts will look almost the same as this setup.
To set up a celebration alert, follow these steps:
- Alert name: The alert will automatically have the title that is the type of alert you are creating. However, you can customize it by replacing the automated name.
- Send this alert to: Determine who will receive the email alert. The Admin Users option will send the email alert to all users listed as Full Admins in access levels. The Employee option will send the email alert to the employee who triggered the alert. The Manager option sends the email alert to the manager of the employee who triggered the alert. The Others option allows you to enter a specific employee, department, location, job title, division, or email address.
- When should this alert be sent: This is the only option that differs between an individual or summary alert. For an individual alert, select the number of days before the employee's birthday you would like the alert to send. These alerts are automatically created for 30 days out, seven days out, and on the birthday. You can click +Add Reminder to add another reminder. Then, determine what time you would like the alert to send on that specific day. In the screenshot above, the alert will send at 3:00 a.m. (America/Denver time). For a summary alert, select how often you would like to receive the alert (i.e., Weekly, Monthly, or Quarterly). Then, determine what time you would like it sent.
- Alert Customizations: Enter a custom email subject heading and message for the email alert. Please keep in mind that this setting applies to all recipients of the alert. They will receive the same custom message. Then, determine if you would like the employee's job title and location to show in the alert.
- This alert will include: Click Edit to filter which employees will affect this alert.
Once you have saved the email alert, it will automatically send when an employee's information triggers it. You can find an example of each celebration email alert below.
Please note that these emails will not be sent if the employee has opted out of sharing their birthday information.
The Birthdays alert bases on the Birth Date field found on an employee's Personal Tab. This alert is a recurring message that will send each year based on the day and month in the field.
In the example below, I set the alert up with three reminders: one day before, seven days before, and thirty days before. This alert was received one day before the employee's birthday. If multiple employees have the same birthday, they will be combined into the same alert.
The Birthday Summary alert bases on the Birth Date field found on an employee's Personal tab. This alert allows you to receive one email containing the names of employees who have upcoming birthdays within a selected time frame.
In the example below, I set the alert up to send monthly on the first of each month. This alert was sent on April 1st and included all employees who have birthdays in the month of April.
Please note that these emails will not be sent if the employee has opted out of sharing their birthday information.
The Employee Birthday E-card is a digital e-card sent to your employees on their birthday. Similar to the in-app birthday message, the Employee Birthday E-Card will include confetti and a customizable birthday message sent to employees.
You can find this email alert in the Email Alerts section of Settings. Click +Add Alert and select Employee Birthday E-Card from the dropdown menu.
Add a name for your Employee Birthday E-Card alert, customize the message, and save your changes. The Employee Birthday E-Card will be sent to the recipient on their birthday at 7 AM (company time) via email. The email will show as coming from BambooHR.
The Employee Anniversaries alert bases on the Hire Date field on an employee's Job tab. This is a recurring alert that will send each year based on the day and month in the field.
In the example below, I set the alert up with three reminders: one day before, seven days before, and thirty days before. This alert was received one day before the employee's anniversary. If multiple employees have the same anniversary, they will be combined into the same alert.

The Employee Anniversary E-card is a digital e-card sent to your employees on their anniversary (based on the Hire Date field). Similar to the in-app anniversary message, the Employee Anniversary E-Card will include confetti and a customizable anniversary message sent to employees.
You can find this email alert in the Email Alerts section of Settings. Click +Add Alert and select Employee Anniversary E-Card from the dropdown menu.
Add a name for your Work Anniversary E-Card alert, customize the message, and save your changes. The Work Anniversary E-Card will be sent to the recipient on their birthday at 7 AM (company time) via email. The email will show as coming from BambooHR.
When an email alert is triggered and if its recipient is an employee, they will receive the alert as long as they have an active status in BambooHR. The recipient does not need to be enabled with access to receive an email alert. An employee with an inactive status will not receive an email alert.
