Stay Informed with Email Alerts
Purpose: As an HR administrator, you usually need to remember many different things while managing employee information. Email alerts in BambooHR are designed to remind you of these little things, so you do not have to worry about them! This guide will go through some of our most popular and helpful email alerts that help you stay updated on everything you need to remember.
Email alerts
We have a long list of email alerts in BambooHR that can be beneficial to you. Take some time to look through the list and start adding new email alerts that help you and your coworkers.
For now, we would like to share a few of our favorites with you!
Employee Anniversaries
The Employee Anniversaries alert is for employees' time they have spent with your company. It is a recurring alert that sends each year based on an employee's Hire Date field on their Job tab.
The Employee Anniversary Summary alert is similar to this alert. However, it will only send one email that contains the names of all employees who have upcoming hire date anniversaries within the selected time frame (e.g., weekly, monthly, or quarterly).
Employee Birthdays
The Employee Birthday alert is for employees' birthdays. It is a recurring alert that sends each year based on an employee's birth date listed on their Personal tab.
The Employee Birthday Summary alert is similar to this alert. However, it will only send one email that contains the names of all employees who have upcoming birthdays within a selected timeframe.
You can create custom email alerts based on date fields within BambooHR. The one-time alert will trigger based on the date in the selected drop-down menu (e.g., hire date, birth date, job information date, etc.)
For example, you can set up an alert that sends to a new employee’s manager once the new employee has been with your company for 30 days. The alert is a great way to remind the manager to check in with the new employee and make sure everything is going well.
What if your custom date is within a table? We also have Custom Table Date alerts you can create based on a date within a custom table.
Taking time off is very important to your employees, so you want to make sure they get the time off they need and that you manage it properly. Our time off email alerts will help the time off request and approval process, remind managers when employees will be out, and remind employees of how much time off they have so they take the vacation they need.
We have a long list of time off email alerts, including the following:
- Pending Time Off Requests
- Time Off Approved Alert
- Time Off Denied Alert
- Time Off Balance Alert
- Time Off Reminder Alert
- Time Off Request Changed Alert
- Time Off Requested Event
Each of these alerts is beneficial in helping your company stay updated on time off information.
For example, the Pending Time Off Requests alert will notify you if an employee submits a time off request that has not been approved or denied within a certain amount of time. This alert is based on the date of a request submission and will send based on the time frame specified in the alert.
Setting up Task Reminder alerts within BambooHR is an easy process to ensure that employees complete their assigned onboarding or offboarding tasks. You can set up these reminders to send before a task is due or after the due date has passed. Or, you can do both.
There are a couple of things to keep in mind with Task Reminder alerts.
- A Task Reminder alert is triggered based on the exact date next to a task list item on an employee's Onboarding or Offboarding tab.
- Once you set up a Task Reminder alert, it will apply to all onboarding and offboarding tasks.
With the click of a few buttons, you no longer need to worry about those tasks getting completed or forgotten.
