How Do I Cancel My BambooHR Account?

Purpose: We are really sad to see you go, but we want to make this process run smoothly for you. This help guide will show you how to submit a cancellation request for your BambooHR account or for any add-on products you have purchased. 


If you do not feel like you are receiving the value you need with your account, including add-on products, please reach out to our Support team, and our team members will be happy to meet with you about your needs and how we can best support you.


Cancel an add-on product
Account Info

You can see which add-on product(s) (Time Tracking, Payroll, and/or Benefits Administration) you currently have by navigating to Settings > Account > Account Info. Click Manage Subscription to cancel an add-on feature.

On this page, click on the three-dot icon next to the add-on you would like to cancel. Click Remove from Subscription.

This will pull up a modal allowing you to enter the desired cancellation date, your primary reason for canceling the add-on and any additional details about why you are requesting the add-on cancellation. Clicking Submit will pull up a modal asking you to confirm that you would like to cancel the add-on. Click Submit Cancellation Request to proceed.

You can also cancel BambooHR Payroll from the Company Information tab. For more information on canceling Payroll, click here.


Cancel your account

Submitting a cancellation request is only available to the Account Owner, Full Admin users, and billing contacts.

To cancel your account, you will navigate to the same Manage Subscription page in Settings > Account > Account Info. In the upper right corner, click Cancel BambooHR Account.

This will pull up a modal where you will need to fill out basic information about your cancellation request. All fields are required to fill out.

  1. *Desired cancellation date: We can only process cancellations on billing dates. The desired cancellation date will allow you to select one of your next three invoice dates.
  2. Primary cancellation reason: Select an option from the standard list of cancellation reasons. If none of the standard options apply, select Other.
  3. Additional details: The free-text box allows you to enter any additional details about why you are requesting a cancellation.
  4. Submit cancellation request: Once you complete all steps, submit your cancellation request. You will see a confirmation message (below) asking you to confirm that you want to cancel the account you are currently logged into.

*The desired cancellation date you select will be the last day you have access to your account, and all data export links will expire on that date. Because of this, be sure to download the data you need before the desired cancellation date.


Confirm your cancellation request

Click Submit Cancellation Request to complete the requestClicking Cancel or in this confirmation window will close the request and take you back to your cancellation request details. The information you entered will not be saved.

Once you submit your request, you will see a success message at the top of your screen, and our team will reach out shortly.

Additionally, a blue banner will appear at the top of your screen with a number of how many days are left until your account gets canceled. On the final day, the banner will say "Today is your last day before BambooHR services are cancelled. Click here for more detail."


Cancellation options
Account Info

After submitting a cancellation request for your BambooHR account and/or any add-ons, your Account Info, Manage Subscription, and Billing pages in Settings (as well as any applicable pages in Settings, such as Performance) will have a blue box showing information about when the cancellation request was made, by whom, and when the product will get canceled. 

The Options menu shows three options. If you are selecting to cancel additional products, click Cancel Additional Products. This option will pull up the same cancellation menu you viewed when you first requested the cancellation.

More Detail

Cancellation Details

The Cancellation Details page will show the following information:

  1. What product(s) you are canceling and the last day of using the product(s)
  2. Final pay date for Payroll (if canceling Payroll)
  3. Final day for Payroll (if canceling Payroll)
  4. Who requested cancellation and when
  5. An option to stop your cancellation request
  6. The ability to download your complimentary data exports (includes the status of each export)
    • Exports labeled with the Ready for Download status are ready for download.
    • Clicking New Export in the upper right corner queues a new export of all applicable data (not available for exports with the Processing status).
BambooHR

Once the download is ready, click Ready for Download to open the download modal. You will be able to view all available complimentary data exports. Click on the arrow icon to download each export. Please note that you must export and download the data before 11:59 PM (Mountain Time) on the day before your requested cancellation date.

Stop Cancellation Request

This option will pull up a modal allowing you to select any cancellation requests you would like to stop. Clicking Stop Cancellation will make the stop effective immediately.


Remove or adjust extra job openings and storage

Job openings

Account Info

If you have purchased additional job openings for your account, Full Admin users and the Account Owner can view the Manage Job Openings option. Go to Settings > Account Info > Manage Subscription. Under the Open Job Postings section, click Manage.

Once you have selected your desired cancellation date and number of job openings to cancel, click Submit. This will open a confirmation modal. Click Yes, Cancel Job Openings to confirm.

Storage

Account Info

If you have purchased more file storage and have more than 10 GB of storage available, (or if you have purchased more file storage and have less than 5 GB of storage available), you will have the option to delete or add storage by clicking Manage in the File Storage section.

Clicking Manage File Storage will open a modal that allows you to select the date of cancellation and amount of file storage to cancel. You can do this only in increments of 10 GB.

Once you click Cancel File Storage, you will receive a prompt to confirm the cancellation. Click Submit Cancellation Request, and the storage cancellation will take place on the selected date.


Export data from BambooHR

Per our Terms of Service, all data in your BambooHR account will be permanently deleted 30 days after your cancellation date. It is important that you successfully export your data prior to the cancellation date, which is the day your access to your account will be removed.

Complimentary export of documents and certain data

We provide a one-time, complimentary export of the following data/documents during your cancellation process. Submitting your cancellation request triggers the export. You (the user who submits the request) will receive an email when the data is ready for download in your account. You will need to download the export before the cancellation date as you need access to your account in order to download the data.

  • Company files
  • ATS data
  • Performance Management data (if applicable)
  • Employee documents

The export includes all files found on the Files tab and all documents uploaded to the Documents tab on each employee profile. This also includes most information on the Hiring and Performance Management tabs.

You will receive an email when your data is ready for download in your account. Clicking Download from BambooHR will bring up a pop-up modal.

BambooHR

The modal shows you the file type and file size for each file. To download a data export, click on the download icon.

You also have another option to access your company data exports in BambooHR. Navigate to Settings > Account Info. On the Account Info page, select the Options dropdown menu and click More Detail.

On the Cancellation Details page, the Data Exports table lists all data exports you can download by clicking Ready for Download.

Data you will still need to export

You will still need to download any data located in the employee profiles beyond what we provide in the complimentary export. The following video walks you through the steps of exporting your data successfully, and it includes some great hints and tips.

  1. Create a Custom Report: You can create custom reports for all of your data. If you are transitioning to another HRIS, you may want to reach out to them to see if they have a format or template you need to be mindful of when creating custom reports and exporting them from our system.
  2. Report Actions: This help guide includes information about downloading the standard reports from your Reports tab as a PDF, CSV, or Excel file (depending on the report).

Cancellation FAQ
If I cancel now, when do I lose access?

The cancellation will be effective at the end of your current billing cycle. This is when your next invoiced payment is due. For example, you are billed on the 15th of each month and made a payment on March 15, you will have access to your account until 11: 59 PM MST on April 14.

If I cancel before my billing cycle is over, do I get a prorated refund for the unused time?

No. We will not charge a prorated amount, nor will we do a prorated refund. Your account will be active until 11:59 PM MST on the last day of your billing cycle. If you need more time than that, you can work with our Billing team to determine any charges you might incur.

Do I have to give a certain amount of notice before canceling?

If possible, it is best to let us know at least three business days before your next invoice date. This will help prevent your account from being charged again if we are not able to confirm the cancellation with you before your next bill is due. It also helps us provide you with enough time to download your data.

How long do you store my data after I cancel? Can I reopen my account if I decide to cancel?

Your data is kept in our system for 30 days after the official cancellation date. You will not have access to your data after the cancellation date, but your data will be stored in our system. After the 30-day period, your data will be deleted. At this point, it cannot be recovered, and the account cannot be reopened. If you decide you would like to reopen your account within the 30-day period, you can reach out to Support to have your account restored. If you would like to return after the 30-day period, we can work with you to create a new account.

Will I receive a prorated invoice or credit for features added or removed partway through the billing cycle?

No, while the product itself gets added or removed immediately, there are no prorations or changes on your bill until the next billing cycle. We only bill in full months based on your invoice date.

If you have prepaid annually, our Billing team will work with you to refund the balance.
