Finding Company Tax Information

How do I find my company tax information?

Purpose: This guide provides the resources necessary to help you find your company's federal and state tax information. Keep in mind that each tax has an associated tax ID, deposit schedule, and tax rate. Having up-to-date tax information in BambooHR is vital to running an accurate payroll.


The easiest way to get your federal and state tax information is by requesting the information from your previous payroll provider. They should have a list of all of your company’s federal and state taxes, including each tax’s associated tax ID, deposit schedule, and tax rate.

If you are a new company and do not have historical payroll records or would like to verify your tax information, you will need to obtain the tax ID, deposit schedule, and tax rate for all applicable federal and state taxes.


Federal taxes

Please note that your deposit schedule is when you deposit your federal taxes and will not necessarily align with when you pay your employees or your state tax information.

Your company will either be a monthly or a semi-weekly depositor. You can verify your federal tax deposit frequency schedule using your 941 or 944 filing documents. You can request a copy of your 941 or 944 from your previous payroll provider or the IRS. 

If you are a new company, you will need to reach out to the IRS at 1 (800) 829-4933 or locate your deposit frequency using IRS Publication 15 (Section 11: Depositing Taxes) to determine your deposit schedule.

If you need to update your federal deposit frequency, you can request to do so within the Company Tax section of Payroll Settings. Keep in mind that choosing the incorrect frequency can lead to penalties.

State taxes

To verify your state tax ID and deposit schedule for each applicable tax type, you will need to contact your state's tax agency and provide your EIN. The following documents contain each state's contact information for each tax agency. You can either email the contact listed in the document or copy and paste the URL from the document to access the specific tax agency and obtain the tax ID and deposit schedule.

Keep in mind that for each state you have employees working in, you need to collect your company's specific tax ID, deposit schedule, and tax rate for the state's applicable taxes, so you may have to contact several different state tax departments to collect this information.



Third-party access for BambooHR
