Enable Employee Satisfaction
How do I enable Employee Satisfaction?
Purpose: To help you understand how to enable Employee Satisfaction to start measuring your company's employee satisfaction to make data-driven decisions in your organization.
Settings
Navigate to Settings and select Employee Satisfaction. Click Let's Get Started.
Do not forget to watch the video to learn the basics of Employee Satisfaction and its setup in BambooHR.
Introduction email
After you click Employee Satisfaction, you need to set up the introduction email to send to your employees. As you can see above, the email introduces the survey, encourages honest feedback, and assures anonymity. The email settings include the following:
- Send to all employees on: Select the date you would like the introduction email to send to employees. Employees will receive the survey during the next business day. If you would like to include your contractors, check the box.
- Show as from: Select which active user you would like the email to show as the sender. Tip: Check with a company leader to see if you can have them as the email sender to encourage more employees to respond.
- Email Message: This text entry box is the body of the introduction email you will send to your employees. We have provided a draft for you, but you can customize the email to best suit your company culture.
- Important information that is automatically included at the end of the introduction email.
- Preview Email: Click the button to preview what the introduction email will look like for your employees.
- Repeat survey every: Choose between every six months or every quarter to repeat the survey.
- Preview Survey Email: The survey email will send to all employees on the first business day after your selected date (view #1). Click Preview Survey Email to preview the email.
- Save: Click Save and everything will set up for you!
Ready to go!
Employee Satisfaction is now ready to go! This page will show you when each email will send and when the survey closes.
- Employee Satisfaction Introduction Email: Click on the pencil icon to edit the introduction email or the setup. Additionally, click on the eye icon to preview the introduction email.
- Employee Satisfaction Survey Email: If you need a reminder of what the survey looks like, click on the eye icon to see a preview.
- Turn off eNPS: If you need to turn off Employee Satisfaction, click this button, and it will end the survey immediately.*
The survey will be open for one week, therefore the survey will close six business days after the start date. If your company has a holiday in the middle of the survey period, it will not count as a business day. So the survey will be extended an extra day to accommodate for the holiday.
A reminder email notification will be sent to employees one day before the survey period ends. Surveys close at 11:59 p.m. on the last day of the survey period based on the time zone selected in Settings. Surveys will close at that time for ALL employees regardless of individual time zones.
*If you turn off Employee Satisfaction during a survey period, it will disable any further actions. A reminder email will not send to employees, and the survey will not automatically start again in six months or the next quarter. If data was collected, you can view the results. To view a report on collected data, we require at least four responses (six or more to see the 'why' responses). We cannot filter responses unless the filtered set respects the seven or greater dataset rule.
Completion rate
Once the survey begins, you can view the overall completion rate in Settings > Employee Satisfaction.
Employee Satisfaction can run quarterly or every six months, depending on your settings. The next cycle will start on the first day of the next quarter or the first day of the sixth month. For example, I chose to have my first survey sent on May 25, 2022, and I have it set up to run every six months, then the first email for my next cycle will send on November 1, 2022. The Full Admin user(s) will receive an email notification two weeks before the repeat run of Employee Satisfaction, reminding them to confirm the date when the email will send to employees.
When you navigate to Employee Satisfaction in Settings after the previous Employee Satisfaction cycle is complete, you will see when the next cycle will run.
Employee Satisfaction in BambooHR is anonymous, which helps employees feel free to provide honest feedback that can lead to real improvements. To ensure anonymity, we take the following steps:
- All employees in BambooHR have an assigned Employee #. We give a random number to an Employee # and tie the employee demographic information along with it. (The user is not anonymous yet at this stage.) Demographic information includes the employee's Department, Location, Age (bracketed in five-year increments), and Length of Service (bracketed in five-year increments).
- We send the Employee Satisfaction email survey to the employee. When the employee clicks to complete the survey, it takes them to a separate URL, which deletes the Employee # and random number* from the database. The demographic information only ties to the employee's response. This demographic information allows for filtering in the Employee Satisfaction Report.
*This information will not remain in our database, and we cannot look up who sent which responses.
Heads up! If an employee signs their name (or uses any other information that clearly distinguishes themself), the survey is no longer anonymous. Encourage your employees to avoid using identifying words and be conscious of their voice when answering survey questions.
