The company directory and org chart will only be accessible if an administrator has enabled both features in Settings.
On the People tab, click Directory in the top right corner to access the company directory, which lists employees in alphabetical order based on their last names.
- Search bar: In the search bar, you can find employees by typing a name, department, division, location, or job title.
-
Group by: In this section, there are two dropdown menus you can use to filter employees in the directory. From the first dropdown menu, you can choose to group the directory by the Name, Department, Location, or Division field. The second dropdown menu has additional options for you to narrow down the directory to the right group of people. These options include the following:
- My Circle (your peers, manager, and direct reports)
- Department
- Division
- Location
- Custom Filter (a combination of multiple filters at one time)
- Local time: If you move your cursor over an employee, their local time will appear. The local time is based on the time zone set for the employee's location.
- Out of office: If an employee is out of office, their information will appear grayed-out in the company directory, and their profile photo will show the exact dates during which they will be out of office.
- Direct reports: If an employee has direct reports, you can move your cursor over the blue hyperlink to see a list of employees who report to them.
- Quick access to the directory: Clicking Quick access to the directory will take you to a new tab with the company directory on it. You can bookmark this page to make it accessible to you without logging in to BambooHR. The bookmarked page will require you to log in every 30 days.
Clicking on an employee's profile photo will bring up a larger version of their photo, along with the information they can view about the employee on the main directory page.
To access the org chart, click on the People tab and select Org Chart in the top right corner. The view of the org chart will default to the top-level company official(s) and their direct reports.
- Search: Use the search bar to search for an employee. Keep in mind only employees with a listed hire date will appear in the org chart.
- Add employee: The +New Employee button will allow admins to quickly and easily add a new employee.
- Levels: Determine how many levels you want to view in the org chart.
- Refresh: With this option, you can refresh the org chart to start with the CEO and their direct reports.
- Direct reports: Click on the down arrow to view the employees (shown in alphabetical order) who report to a specific manager. The number denotes how many direct reports the manager has.
- Pin: You can pin a specific employee to the top of the org chart to view only them and their direct reports.
- Navigation: Clicking on this arrow allows you to move up the org chart when searching for an employee.
- Additional details: You can determine what other information you want to view in the org chart by clicking on the gear icon and choosing from the available options. Options are based on what admins have enabled in Settings > Company Directory. Only admins have access to the Hire Date option.
- Export: Any employees with access to the org chart can download or export the chart.
- View options: Zoom in or out to get the best view of the org chart.
- More: If you have selected additional details (see #7), you can click More to view those details.
- Profile photo: Clicking on an employee's profile photo will bring up a larger version of their photo and any company directory information you can view.
- Terminated manager placeholder: If you terminate a manager without adding a replacement, a placeholder will show for them in the org chart until you add a new employee in the reports to field for their direct reports.
Here are a few tips to remember when an employee is not showing up correctly in the org chart:
- If an employee does not have a hire date listed on their employee profile, they will not show up in the org chart, even if they have a manager listed in the Reports To field in the Job Information table.
- If an employee has a hire date listed but does not have a manager listed in the Reports To field, the employee will not show up in the org chart. Instead, the employee is included in the List Employees with No Manager option. This option is only viewable to admins.
- If an employee has a hire date and direct reports listed on their employee profile, the employee will show up in the org chart. However, if they do not have a manager listed in the Reports To field, they will automatically show up at the top of the org chart. It is by design for only the top-level CEO or president of the company to be at the top of the org chart. If you have multiple employees showing up at the top of the chart, view the example below.
An employee will automatically appear at the top of the org chart if they do not have a manager listed in the Reports To field on the Job Information table but have direct reports. This situation allows for multiple heads to appear at the top of the org chart.
If an employee unintentionally showed up at the top of the org chart, an admin will need to edit the Reports To field in the employee's Job Information table. In the screenshot above, Jake should report to Olivia Sterling and not appear as a top-listed company official.
PDF or PNG file
Export Tips
- If you are exporting a small org chart, a PDF or PNG file is a great option.
- If you export a large org chart, we recommend you download it as a PNG file because the PDF file is constrained on page size and can get unwieldy for large org charts. A PNG file is best for large org charts because it will scale to the necessary dimensions without creating a lot of extra white space.
- If you are putting an org chart in a slide deck presentation, we recommend exporting the org chart as a PNG file because you can scale the file to the size that works best for your presentation.
When you choose to export a PDF or PNG file of the org chart, the export will default to show current employees you are viewing on the screen. However, you can choose to customize the export to select a new set of employees. If you choose to customize the export, the following options will be available:
- Start with: Select which employee you want to be at the top of the org chart. Only employees with direct reports are available in this list.
- Levels to export: Select how many levels you want to show under the starting employee.
- Include: Check the box next to each of the items you want to show in the export file.
- Download PDF or Download PNG: Select which file format you would like to download the org chart as.
Once you click the download option, the org chart will output into an image in the dimensions that will accommodate the number of levels and employees. It means it will not be in an 8.5 x 11 size. You will need to resize the image to meet your needs.
There is no option to paginate the org chart when downloading and exporting it as a file. We looked at different ways to make the output work in regular paper sizes. The best way to give you the flexibility to arrange and size it the way you need is providing an image you can resize (PNG) to any page, slide, or canvas size. Also, you can choose which employee to start with, determine how many levels, and then create sub-charts for teams or departments.
CSV file
When you choose to export the org chart as a CSV file, you will receive all employees' data instead of only the employees you are currently viewing on the page. The CSV file will include information that varies based on the CSV file format (see below).
