What are the available email notifications for time off?

Purpose: Automatic time off email notifications can help you ensure that users respond to requests promptly. This help guide will show you an example of each email notification available for time off information.


Email notifications from BambooHR are sent from [email protected].

Time off requested

Example of an automatic BambooHR email sent to an approver when an employee requests time off. The notification displays the employee’s requested dates, optional notes, time off category and amount, and buttons to approve or deny. It also lists overlapping team absences for context. The intent is to show approvers how requests are communicated and where they can take action directly from the email.

When an employee requests time off in BambooHR, the designated approver will receive an email notification with a link to take action on the request.

Along with the request details and action buttons, the email includes a highlighted warning message to flag the issue. This demonstrates how BambooHR proactively informs approvers of potential balance problems before approval.

If an employee makes a request that would give them a negative balance, a highlighted message will be displayed in the email notification.

Please note: If an employee makes a request for time off in the future and it is approved, then they make a request closer to today, which would make their already approved time off put them into a negative balance; our system will not flag this. This is why we still recommend training those who approve time off to always check the employee's time off balance before approving time off.

Time off canceled

Example of an automatic email notifying approvers that a previously submitted time off request has been canceled. The notification displays the canceled dates,  time off category, and the status showing who canceled it. This shows how BambooHR keeps approvers informed of changes in employee time off requests.

When an employee cancels a time off request in BambooHR, the approver* of the request will receive an email notification about the canceled request. If the employee cancels the time off request before the approver responds to the request, the email notification will still be sent.

*If the request is part of a multi-level approval workflow, the approver(s) who approved the request and the next approver (who has not yet approved the request) will receive the notification. If the first approver has not approved the request, only they will be notified about the cancelation.

Time off approved

The message confirms the approval by whom, specifies the time off category and amount, includes any comments from approvers, and provides the approved dates. This demonstrates how employees are notified once their requests are finalized.

When the designated approver approves the time off request in BambooHR, the employee who submitted the request will receive an email notification regarding the approval.

Time off denied
