Benefits Administration Email Notifications

What are the email notifications for Benefits Administration?

Purpose: Our automated email notifications in Benefits Administration help HR admins save time and let employees receive timely reminders and updates regarding their benefit elections. We offer the following email notifications that simplify communication during the benefit enrollment experience, which is usually a busy period for both employees and HR admins. 


Employee email notifications

Benefits Enrollment Starts Soon!

Employees included in an enrollment window will receive a reminder around 8:15 AM (company time) three days before the enrollment window start date. The notification includes an option for the employee to update their dependent information as it is tied to their enrollment experience.

Ready, Set, Enroll!

Employees will receive another email notification around 8:15 AM (company time) on the start date of the enrollment window. The notification includes a link—Start Enrollment in BambooHR—for the employee to open the enrollment experience and start electing benefits. If the employee needs to review their personal and dependent information before electing benefits, they can click Update Dependent Information from within the email notification.

Enrollment Ends in 3 Days

Employees who have not submitted their benefit elections will receive another reminder email around 8:15 AM (company time) three days before the end date of the enrollment window. To begin enrollment, the employee can click Start Enrollment in BambooHR.

Your Benefits Are In!

After the employee clicks Save & Submit in the enrollment experience, they will automatically receive another email notification that confirms their submission. In the meantime, the HR admin will review the employee's benefit elections.

You're Good to Go!

If the HR admin approves the employee's benefit elections, the employee will automatically receive an email notification, letting them know about the approval. The notification includes a link—View Benefits—for the employee to access their Benefits tab and review their benefit details. 

Benefits Updated

An employee will automatically receive this email notification when admins make changes to the employee's approved benefit elections within an enrollment window. The employee can click Review Updated Benefits to learn more about these changes.

Benefits Change Denied (QLEs)

An employee can submit a benefits change request due to a qualifying life event (QLE) from their Benefits tab. If an admin denies their request, the employee will receive an email notification letting them know. 

When an admin approves a benefits change request, they will create a new QLE enrollment window for the employee to complete. The employee will receive three notifications during this process: Benefits Enrollment Starts Soon (if applicable), Ready, Set, and Enroll, and You're Good to Go!

If an admin adds a comment to your request, the employee will receive an automatic email notification about their comment.


Admin email notifications

New Employee Elections Submitted

Full Admins and custom access level users with access to Settings > Benefits will receive an email notification around 8:15 AM (company time) when an employee's elections have been submitted but not yet approved within the last 24 hours. The notification includes a number and percentage for each election status—pending, approved, and incomplete. Click Review Elections in BambooHR to resume the approval process in BambooHR.

Benefits Change Request (QLEs)

Full Admin users and the Account Owner will receive an automatic email notification when an employee requests a benefit change due to a qualifying life event (QLE). Once the admin clicks Open Request in BambooHR, the system will bring them to their inbox in BambooHR. Benefit change requests will appear in the Benefits > Qualifying Life Events subfolder of the inbox.

If an admin requests a benefit change on the employee's behalf, all admins (including the requester) will still receive this email notification. The employee will not receive a notification, but they can view the submitted request in their inbox under Sent > Benefits > Qualifying Life Events.

New Comment in Benefit Change Request (QLEs)

If an employee comments on the request before any admin responds to their request, all Full Admin users and Account Owner will receive an email notification about the employee's comment. However, if an admin adds a comment, and the employee responds to their comment, only that admin (not other admins) will receive the email notification.
