Adding a Benefits Broker in BambooHR
How do I give my benefits broker access to BambooHR and my employees' benefits?
Purpose: This guide will walk you through how to set up your benefits broker in BambooHR and enable access for them to view your employees' benefit information.
Step 1: Create a custom access level
You can get started by creating a custom access level for your broker. You will need to do this before enabling access for them in BambooHR. Go to Settings > Access Levels. Click on the + icon next to "Levels" and select Custom Access Level.
Provide a name for the access level and a brief description of the type of access this level provides (see example above). Click Next Step.
Under "What Can People with this Access Level Do?" click Settings and mark the box next to "Benefits." With this setting enabled, the benefits broker will have access to the following aspects of Benefits Administration:
- Plan years
- Benefit plans
- Enrollment windows
- Carriers
Next, navigate to Reports and select the box next to "Benefits Administration Reports." This permission will allow the benefits broker to view standard Benefits Administration reports. Please keep in mind that a report will only load if the benefits broker has permission to view or edit all of the fields included in the report. In order for them to view the reports, they will need View Only or Edit access to the Personal, Job, and Benefits tabs.
Here are some exceptions to a benefits broker's access:
- Employee elections
- PDF Form Builder
Click Next Step to continue.
Under "What Can People in this Access Level See?" you can specify what type (View, Edit, etc.) of access the broker will have regarding employee information. Navigate to the Benefits tab on the See About Other Employees tab and adjust the access for each field based on how much access you want the broker to have. Since the broker will be a non-employee user, they will not have an employee profile. You can click No on the See About Themselves tab.
If you want the broker to see when new hires are onboarded, you can select the Welcome New Hires widget for them to view. All of the widgets on the See on Home tab are optional. Once you have set up and reviewed the access level, click Save & Finish.
Step 2: Add the broker as an non-employee user
After creating the custom access level, click on the gear icon and then select Add a Non-Employee BambooHR User.
Enter the broker's first name, last name, and email address. Also, select the name of the new custom access level you have created for the broker.
