How do managers request feedback?

Purpose: To learn the process of managers requesting feedback on their team members.


Overview

Email notification

The feedback period begins based on the date selected in a review cycle. A manager will receive an email notification on that date to choose who should provide feedback on their team members. In addition to an email notification, the manager will also receive an inbox notification in BambooHR.

They can click Request Feedback to go to their inbox in BambooHR and select the people they are requesting feedback from.

If the manager has not selected people after fourteen days, they will receive another email notification. If there is no one selected by the end of the feedback period, the system will remove the task from the manager's inbox in BambooHR.


Request feedback

Request feedback from email/inbox

Within the inbox notification, the manager can select up to 10 people for each team member in the Get Feedback From column. The dropdown menu includes all active users who have access to their BambooHR accounts. The inbox notification also lists standard feedback questions (and custom questions for Pro customers) that people will answer regarding the team member in their feedback request.

Once the manager selects Send Feedback Requests, all selected people will receive an email notification requesting their feedback.

If the manager chooses Dismiss Request, the system will remove the task from their inbox, and the manager will not be able to request feedback through that task. If the manager later decides they want to request feedback on a team member, they will need to go to the employee's Feedback tab (under Performance) and select people there.

Request feedback from employee's profile

Managers can also navigate to the employee's Performance tab on their profile to request feedback within a review cycle and impromptu feedback. However, the limit of 10 open requests at a time will still apply.

When feedback is requested from the employee's Performance tab (within an active review cycle or for impromptu feedback), it will default to the standard feedback questions, not custom questions.

If a manager is on leave and unable to select people for feedback, a Full Admin user can select people for feedback on the employee's Feedback tab.

If there is a change in an employee's manager during a feedback period, their new manager cannot request people for feedback. In order to have the employee receive feedback, you must have their previous manager submit a feedback request before updating their manager information in the Job Information table.


Feedback history

When selecting people, the manager can see a history of people selected to offer feedback over the last two feedback periods. Additionally, they will see a number next to an employee's name if they have five or more feedback requests in the current request cycle. This number represents the total of completed and pending requests in these cycles. In this way, managers can be sure that they are not overburdening employees and can get feedback from different employees.


View completed feedback

The employee's manager can view feedback provided on the employee by going to the employee's Performance tab and then selecting the Feedback subtab. They can select a specific date range (e.g., Last 6 Months) to view all feedback given during that specified date range.


Cancel a feedback request

Managers and custom access level users have access to cancel a feedback request on an employee's Performance tab. Then, they will need to select the Feedback tab and hover their cursor over the request and click Cancel. The option to cancel a feedback request is also available on the BambooHR mobile app.

After canceling the request, the manager or custom access level user will receive an inbox notification reminding them to select other people for feedback.

The user will need to click Yes, Cancel Request to confirm the cancellation. 

The person who received a request to provide feedback will also receive an email notification. Additionally, the system will remove the task from their inbox in BambooHR. If the manager or custom access level user cancels a request or does not select anyone for feedback, they can still select people* on the employee's Feedback tab.

*Exception: If there are five days or less remaining until the feedback due date, the manager or custom access level user can still cancel a request, but they cannot select new people to provide feedback. This situation helps give the reviewer enough time to submit their feedback before the due date. Do not worry! You can choose new people when the next period starts.
