Rolling Out BambooHR

Purpose: This guide contains materials that empower HR admins in introducing BambooHR to their organization and employees to log in for the first time. This guide includes suggestions and offers best practices. However, you can adjust the following content to fit the needs of your organization. 


Introduce BambooHR to managers

Step 1: Send the Manager Meeting email

Invite the managers at your organization to participate in a rollout presentation for BambooHR. This presentation can be a stand-alone presentation or be in conjunction with another meeting, such as a leadership meeting. Here is an example email you may use:


Hi Managers,

We’re excited to announce that we have recently purchased BambooHR! BambooHR is an HR software that collects and organizes our employee information to help with hiring, onboarding, tracking time off, and building culture. 

We will be holding a 30-minute meeting for managers on [date, time, and location] to give you an overview of BambooHR and its capabilities. 

After the meeting, we will give you access to log in to BambooHR. We will also send a follow-up email with resources to help you learn about BambooHR from a manager's perspective.

Once managers are up to speed on BambooHR, we will hold a second meeting where we will introduce BambooHR to all employees and allow all employees to log in and start using this new tool.

Step 2: Present BambooHR to managers

Here is a link to the BambooHR rollout presentation for managers. The slide deck has notes, talking points, and graphics. Be sure to add your company logo and colors to look like a rock star! 

We have included a slide for questions at the end of the presentation. To best prepare for answering your employees’ basic questions, we recommend reviewing the employee access manual.

Step 3: Enable manager access

Now that your management team knows of BambooHR, you can grant your managers access to creating a password and logging in to BambooHR. Enabling access is easy and allows you to share the workload and strategically make information available to your employees.

Step 4: Send the Manager Meeting follow-up email

After granting all of your managers access to log in to BambooHR, send them a follow-up email. Here is an example email you may use: 


Hi Managers,

Thanks for attending our meeting introducing BambooHR. We’re excited to have this new tool and look forward to having all employee data in one place. 

Please complete the following action items before [date and time].

  1. By now, you should have received an email inviting you to log in to BambooHR and create a password. After doing so, be sure to bookmark [your company’s BambooHR domain]. If you haven’t received this email or are unable to log in, please let me know.
  2. Watch this 9-minute video to learn about BambooHR as an employee.
  3. Watch this 13-minute video to learn about BambooHR as a manager.
  4. Log in to your BambooHR account and update your emergency contact and dependent information.
  5. Download and configure the BambooHR mobile app.

We’re excited to announce that we have recently purchased BambooHR! BambooHR is an HR software that collects and organizes employee information to help you manage your time off, personal information, and so much more.

We will be holding a 30-minute meeting at [time, date, and location] to give you an overview of BambooHR and its capabilities. 

After the meeting, we will give you access to log in to BambooHR. We will also send a follow-up email with resources to help you learn about BambooHR from an employee perspective.

Enabling employee access is one of the most beneficial things you can do in BambooHR because it allows the employee to keep their personal information up to date and access information that pertains to them.

Step 4: Send the Employee Meeting follow-up email

After granting all of your employees access to log in to BambooHR, send an email to your employees. Here is an example email that you may use:


Hi Team,

Please complete the following action items before [date and time].
