How do I track and manage employees' benefit information in BambooHR?

Purpose: To help you understand how you can track and manage your employees' benefit information in BambooHR.

Settings

Benefits

To get started with Benefits Tracking in BambooHR, you will need to set up the following items in Settings > Benefits

  1. Create a benefit plan: Plans include all the different benefits you offer to your employees. Click +Create New Plan to add a benefit plan you are offering to your employees. You will need to determine what benefit type the benefit plan is for.
  2. Filter: You can click on the dropdown menu next to "Showing" to filter the benefit plans by plan status, either active or inactive. Selecting All plans will have the table show all benefit plans, both active and inactive.
  3. Benefit types: The Plans table sorts benefit plans by benefit type.
  4. Benefit plans: The system highlights the benefit plans that are available to your employees. You can click on a plan name to view the settings for that plan.
  5. Eligibility: This column shows which employees are eligible for the benefit plan based on the eligibility groups you have added in the setup.
  6. Status: This column shows the number of eligible employees in each of the statuses listed below. 
    • No one is marked enrolled in this plan. Enroll someone.: Benefit plans that do not have any enrolled employees will show a hyperlink saying "Enroll someone." Clicking Enroll someone will direct you to the bulk enrollment feature, which is where you can enroll multiple employees in the plan at the same time.
    • # Enrolled. # Not Enrolled/Waived: This gives a count of how many employees are enrolled or scheduled to be enrolled in the benefit plan. Additionally, this status will show you how many eligible employees still need a status update (Not Enrolled/Waived). Click on the status to bulk edit those employees' statuses for the plan.
    • # Enrolled: This will only show if all eligible employees are enrolled in the benefit plan.
    • # will be eligible when marked manually: This appears when ineligible employees do not have an eligibility date automatically determined based on the plan setup. Click on the status if you need to mark specific employees as eligible for the plan.
    • Inactive: If you select Inactive plans or All plans from the filter, you will be able to view any inactive plans with an end date that has already occurred. If the plan setup includes eligible employees, you can click Reactivate for reactivate the plan with its original settings. 
    • Plan setup incomplete: If you have saved the plan setup as a draft by clicking Save and Finish Later, the plan will have this status. Click on the status or plan name to complete setting up the plan.
  7. Duplicate a plan: To duplicate a plan and its settings, click on this icon.
  8. Delete or end a benefit plan: To delete or end a benefit plan, hover your cursor over the plan and click on the trash icon.

Bulk enrollment feature
Enroll Employees

The bulk enrollment feature allows you to enroll multiple employees in a benefit plan at one time. Step 2 includes the ability to set default enrollment details that apply to all selected employees. Step 3 gives you the option to customize those details for each employee.


Benefit Eligibility email alert
Benefit Eligibility

We recommend setting up the Benefit Eligibility email alert. Selected individuals will receive an email alert about the employees who are eligible for new benefit plans within a selected time frame. 


Employee profile

As a Full Admin user or custom access level user with access to the Benefits tab, you can view employees' benefits in the Benefits Overview table and make any necessary updates.


Benefits widget on Home
Home

You can grant your employees access to the My Stuff widget on Home. If the employee is enrolled in at least one benefit plan, the widget will show a brief overview of how many benefit plans they are enrolled in. Clicking Benefits will direct the employee to their Benefits tab for more information.
