Become an Access Levels Pro

Roles and responsibilities often change in the workplace. Sometimes, you may need to give your team members access to specific reports while you are away from work or need to give your payroll assistant access to all compensation details while changing to a new system. As companies grow, people switch roles and gain new responsibilities that require access to and restrictions from different information. As a result, BambooHR has flexible access levels built into the system. We give you the tools you need to feel in control of who can see and change information. We make it easy to manage and monitor permissions as your company grows. You may have already set up access levels when you first joined BambooHR, but perhaps you have not made changes since then. This help guide will take you back to the essentials, and you will know what to do when various situations arise.
Enable access
Granting people access to information in BambooHR is the first step in getting the most out of your system (you can learn more about employee access in our Hints and Tips video). There are several ways to enable employee access in BambooHR. You can even enable multiple employees at the same time. When your employees log in, you can share this resource to help guide them through BambooHR.
Edit access
Updating an employee’s access level in BambooHR is quick and easy. You can manage them directly by using the action menu (three-dot icon) on their employee profile or clicking on their name within their access level in Settings.
You can also assign multiple access levels* to an employee if you need to grant them access to information above and beyond their typical duties. For example, when an employee becomes a team leader, you can give them partial access to other employees’ information to monitor their goals and performance. Beyond the standard employee, manager, and Full Admin access levels, you can also create custom access levels* for specific positions like recruiters (who need access to the Applicant Tracking System) and trainers (who need to assign and monitor training progress).
Preview BambooHR as another user
When granting access in BambooHR, it is always a good idea to preview the system as to how the employee will see it. In this way, you can easily ensure the employee has access to all relevant information, and that you have not accidentally granted them access to confidential details like compensation. This feature is also available from the action menu on the employee profile or by hovering over an employee’s name in their access level's settings.
Reset a user's password
When you grant access for an employee to log in to BambooHR, the system will automatically send an email to the employee with a link to set up a password and log in to BambooHR. The link will expire after 24 hours, but an employee who misses the login window can request a new link. If you are a Full Admin user, you can send a new link to the employee. That way, you can ensure your employees do not have any issues when logging in to BambooHR for the first time.
Access Level History
The Account Owner or a Full Admin user have access to a report similar to the Audit Trail report exclusively for access level changes. To find this report, navigate to Settings and then click Access Levels. Make sure you are on the All view, and select History.
Here, you can see changes within a specific timeline, for a certain access level, or by a certain user. You can also filter the report by type of action. For more information about this tool, click here.
