Benefits Tracking Email and Inbox Notifications

Benefits Tracking helps administrators stay up to date on benefits-related changes through two types of notifications:

  • Inbox notifications: Real-time notifications that appear in your BambooHR inbox when an employee's information changes in a way that affects their benefits eligibility.
  • Email notifications: Automated emails sent when notifications are still pending in your BambooHR inbox, or when benefit plans are up for renewal.

Together, these notifications help offload some of the tasks HR administrators would normally have to keep track of on sticky notes or spreadsheets. 


If you company uses Benefits Administration, you will receive these same notifications in addition to the notifications that are specific to Benefits Administration.


Common questions

  • What's the difference between inbox and email notifications?
    • Inbox notifications show up in your BambooHR account in real time.
    • Email notifications are automated reminders sent to your external email inbox.
  • Can I turn off email notifications?
    • No. Email notifications are automated and not customizable.
  • What happens when there's an inbox notification that I haven't read yet?
    • You will receive a reminder email the next day listing all notifications that still need your attention.
  • How will I know when plans are expiring?
    • You will get automated email notifications 30 and 10 says before a benefit plan expires.

Inbox notifications

When any of the following benefit changes occur, you will receive an inbox notification, regardless of when the change takes effect:

  1. An employee is losing eligibility to one or more benefit plans due to a change in their demographic data.
  2. An employee is gaining eligibility to one or more benefit plans due to a change in their demographic data.
  3. An employee is being terminated, and the benefit plan does not have an automatic coverage termination rule.
  4. An employee has a pay frequency change and has an enrollment that is a fixed dollar amount per paycheck (e.g., contributes a fixed $3,000 per quarterly paycheck and then moves to a weekly pay schedule).

To review inbox notifications:

  1. Click on the inbox icon in the top corner of your BambooHR account.
  2. Select Assigned to Me.
  3. Go to the Benefits section.
  4. Open the Eligibility Changes subsection.
  5. Select a notification to see details.
  6. Choose Go to [Employee Name]'s Benefits to update benefits, or click Got It to mark as read.

Review Changes to Benefits Eligibility

This notification alerts you when an employee's information changes in a way that affects their eligibility for certain benefit plans. From the notification, you can either review eligibility details on the employee's Benefits tab or mark it as read. In the example above, Charlotte's status changed from part-time to full-time, which made her eligible for three additional plans.

Update Employee Benefit Contributions

This notification appears when an employee's pay schedule changes in a way that affects their benefit contribution amounts. From the notification, you can either review the contribution details on the employee's Benefits tab or mark it as read. In the example above, Charlotte's pay schedule was updated, which means her per-paycheck contributions may need to be adjusted for certain benefit plans. 


Email notifications

Email notifications are automated reminders sent outside of BambooHR to your email account. 

Some employee benefits need your attention

If an inbox notification is still incomplete from the previous day, you will receive a one-time reminder email. It lists all pending notifications that need your attention and includes a button to go directly to your BambooHR inbox. 

Benefit Plans Are Up for Renewal

If there are benefit plans up for renewal, you will receive this email notification 30 days and 10 days before the benefit plan expires at 12:01 AM (company time zone). These emails includes instructions on how to review and update your benefit plans. To get started, click Update Benefit Plans directly from the email.
