Autosync Before Running Payroll

Purpose: This help guide will walk you through the autosync process of the information syncing from BambooHR each time you run payroll.

Which Employees will be Included in the Sync?

The following is required in order to have an employee included in the sync. Please note that 1 and 2 must be true in order to include the employee in Payroll:

  1. Employees who are currently assigned to the Pay Schedule associated with the Pay Cycle being processed for payroll.
  2. Active employees who have a hire date included in, or prior to the dates of the pay period. These employees must also have active compensation and demographic records.
  3. Terminated employees who have a final pay date that is tied to either the pay cycle being processed or a future set final pay date.

Initiate Sync

To initiate the data sync, navigate to "Payroll Center" and click "Run Payroll." Then click the "Run Payroll" button next to the Pay Cycle you'd like to start running payroll for.

It is important to note that a payroll cannot be officially considered started or open until you have completed the entire autosync process. If you exit the autosync flow at any point before finishing, you will be required to start over at the beginning the next time you begin to run payroll.

What if I am late Running Payroll?

If you are late running your payroll, you will automatically see a warning screen letting your know what options you have for processing the payroll.

Company Sync

The first step in the autosync process is syncing your company information. While this step is running, BambooHR is syncing over all of the company information listed below to make sure all required information is complete and it matches what was previously synced with TRAXPayroll. This will capture any updates made to this information since the previous payroll run.

  • Branch
  • Class
  • Department
  • Divison
  • Time Off Types
  • Deductions
  • Pre-Payroll Validation Checks for Company Data
What if I have Errors Syncing Company Information?

If any errors come up when syncing your company information, you will automatically see a screen that details out each error. Each error will be grouped into one of the main categories listed above and will link to the associated page in BambooHR where you can make the proper adjustments to address the error.

Once each error has been resolved, simply click "Okay, Errors are Fixed" to re-initiate the autosync process. If company errors persists, you will continue to receive the error message until you've resolved all errors involving company information.

To exit out of the Autosync process, click "Do This Later." Keep in mind that you will need to fix these errors before you will be able to run payroll.

Employee Sync

Once you've successfully synced over your company information, you will move on to step 2 which is syncing employee information. While this step is running, BambooHR is syncing over all of the employee information listed below to make sure all required information is complete and it matches what was previously synced with TRAXPayroll. This will capture any updates made to this information since the previous payroll run.

  • Demographics
  • Wage
  • Tax
  • Bank
  • Time Off Types
  • Time Off Adjustments
  • Deductions
  • Pre-Payroll Validation Checks for Employee Data
What if I have Errors Syncing Employee Information?

If any errors come up when syncing your employee information, you will automatically see a screen that details out each error. Each error will be grouped by employee and will link to the associated employee's profile in BambooHR where you can make the proper adjustments to address the error.

Once each error has been resolved, simply click "Okay, Errors are Fixed" to re-initiate the autosync process. If employee errors persist, you will continue to receive the error message until you've resolved all errors involving employee information.

To exit out of the Autosync process, click "Do This Later." Keep in mind that you will need to fix these errors before you will be able to run payroll.

Address Validation

Once you've successfully synced over Company and Employee Information, you will move to the final step of Autosync which is Address Validation. While this step is running, BambooHR is syncing over any changes to employee address information.

What if I have Invalid Addresses that Need to be Updated?

If any errors come up during the address validation, they will be listed out with a suggested address. Simply click "Update" to fix the address right in TRAXPayroll. Any address edits made during this step will automatically be updated in BambooHR and recorded in the Audit Trail (Advantage Package only).

Once all addresses have been updated, click "All Set, Continue to Payroll" to move to step 1 of Run Payroll.

If you click "Back to Payroll Center" without making all address changes, you will be redirected back to the Payroll Center. All updates made prior to pushing this button will be saved before exiting. Keep in mind that you will need to fix these errors before you will be able to run payroll.

Once all three steps of the Autosync process are complete, the Autosync process will not need to be completed again when re-opening the same payroll run unless that payroll run is reset.
